How to Declare Employees Under the Social Health Authority - SHA

The Kenyan government has urged employers to declare their employees under the Social Health Authority (SHA) to ensure they can benefit from essential health services.

According to Harry Kimtai, Principal Secretary in the State Department for Medical Services, only 120,620 employees out of millions are currently declared by their employers.

This guide will walk you through the process of declaring employees to ensure that they and your organization can utilize the services provided under SHA.

Importance of Declaring Employees Under SHA

The registration process is crucial for enabling employees to access health services. As of now, 12.7 million Kenyans have registered under SHA, and over 1,442 healthcare providers are available to offer services. However, without proper declaration, employees may find themselves unable to access necessary health support, even if they have self-registered.

Steps to Declare Employees Under SHA

  1. Access the NHIF Byproduct Portal: Begin by entering your NHIF byproduct portal username and password. This will allow you to access your account and proceed with the declaration process.
  2. Verify Your Registration Details: Once logged in, confirm the NHIF registration details displayed on your screen. Make sure all the information is accurate before moving forward.
  3. Upload Required Documents: You will need to upload your business registration certificate and KRA PIN certificate. This step ensures that your business is properly registered and eligible to declare employees.
  4. Input Contact Person Details: Enter the details of a contact person within your organization. After saving the record, the system will send an email prompting the user to set their password.
  5. Enter Employee Details: Log back into the portal and upload the byproduct file containing the details of your employees. The system will check if these employees are already registered and will return their CR numbers.
  6. Generate Payment Reference: After completing the upload, the system will allow you to generate a by-product reference number, which you will need to make payments related to the health services.
